Our Policies

What is your cancellation policy?

We require a minimum of 24 hours' notice for any appointment changes or cancellations. This policy is strictly in place out of respect for our practitioners’ time and to allow waiting clients the opportunity to access that treatment space. 

Please note that cancellations within 24 hours of your appointment are subject to a cancellation fee of $35.00. Clients who miss their appointment will be charged the full fee.

How far in advance should I book my appointments?

Because our clinic is a popular destination in Lethbridge, prime times (evenings and weekends) fill up quickly. We generally recommend booking at least 1 to 2 weeks in advance, or pre-booking your next few visits at checkout to ensure you get your preferred time slots. Online booking is available 24/7. 

What are your regular clinic operating hours?

We are open Monday 9am to 8pm, Tuesday through Friday from 8am to 8pm and Saturday from 9am to 4pm. We are closed on Sundays and select statutory holidays to give our hardworking team a chance to rest with their families.

Is the clinic accessible for individuals with mobility restrictions?

Our facility is fully accessible, featuring street-level entry and wide corridors to comfortably accommodate wheelchairs, walkers, and strollers. If you have specific accessibility needs or require extra assistance transferring to a treatment table, please let us know when booking so we can prepare your room perfectly.

What are your gift card terms/conditions?

Gift cards are redeemable at 4 Elements Wellness Clinic and redeemable up to the value the gift card was purchased for. Any balance owing beyond the gift card value is the responsibility of the customer. Gift cards may be applied towards massage therapy services, retail product. They cannot be applied to physiotherapy services.

Gift cards cannot be exchanged for cash, cannot be replaced if lost or stolen, and are non-refundable following the immediate purchase of the gift card, and are not reloadable.

I was late to my appointment — do I still get my full appointment time?

No, if you arrive late you will receive the remaining time left of your massage. Clients are responsible to pay the full amount of their scheduled appointment regardless of tardiness however we understand things come up during the day and we try to accommodate clients the best on a case by case basis. We will try to fit in as much of your scheduled time as possible if you arrive late.

Why do you need a credit card on file?

Jane payments require a credit card on file to book an appointment. Your credit card reserves your appointment, and will only be billed if no-show fees or late cancellation fees apply, or if credit card payment is selected as your form of payment when checking out.
Credit card and all confidential and sensitive information is collected by a third party site. Jane Payments meets the highest security standards to ensure credit card data is never at risk.

Insurance

Which insurance companies can you direct bill?

We can direct bill the vast majority of major insurance providers in Alberta, including:

Blue Cross, Blue Cross Medavie, Canada Life, Chambers, CINUP, Claim Secure, Co Operators, Desjardins, Empire Life, Equitable Life, GMS, Green Shield, Group Health, Group Source, Industrial Alliance, Johnsons Group, Manulife, Maximum Benefit, Nexgen, People Corporation, RWAM, Sunlife, Telus Adjudicare.

If direct billing is unavailable, we’ll provide a receipt for reimbursement.

Is physiotherapy and acupuncture covered under standard health benefits?

In most cases, yes. Extended health plans typically offer separate, dedicated annual allowances for physical therapy and acupuncture. Because coverage amounts vary by plan, we recommend logging into your provider's portal to check your specific yearly limits.

Can I use my Health Spending Account (HSA) at the clinic?

Yes. If your benefit package includes a Health Spending Account, it can be used to pay for any therapeutic services, product purchases, or outstanding balances not fully covered by your primary insurance plan.

Will my insurance cover the specialized tools like cupping or hot stones?

Yes! Because we price all our core massage treatments the same and seamlessly blend advanced tools (like cupping, hot stones, or bamboo) into your session at no premium cost, the entire treatment is billed under standard Massage Therapy. There are no hidden or un-billable upgrade fees.

I have 2 insurances — why can't I use both?

Insurance companies across Alberta do not use the same websites or operating systems and have had issues approving coverages. To keep things as simple and straightforward for clients, we bill your primary insurer but can give you a receipt to submit to any additional insurance coverage you have to reimbursement.

Acupuncture

Does Acupuncture hurt?

Most people describe the sensation as a tiny "pinch" or a dull tingle, rather than pain. The needles are hair-thin—much smaller than the needles used for shots—and many clients find the experience so relaxing they actually fall asleep.

How does Acupuncture actually work for pain?

From a clinical perspective, acupuncture helps stimulate the nervous system and triggers the release of the body's natural painkillers (endorphins). It also helps increase local blood flow and reduces inflammation in targeted areas.

How long are the needles left in?

Once the needles are placed, you will typically rest for about 20 to 30 minutes. This allows your nervous system to settle and the treatment to take full effect in a quiet, calm environment.

Is Acupuncture covered by my health benefits?

Yes, most extended health care plans in Alberta provide coverage for Acupuncture when performed by a Registered Acupuncturist. We recommend checking your specific policy for your annual limit.

What conditions can Acupuncture treat besides muscle pain?

Acupuncture is incredibly versatile. It is commonly used to help with digestive issues, insomnia, stress and anxiety, hormonal balance, and even respiratory support.

Physiotherapy

Do I need a doctor’s referral to start Physiotherapy?

In Alberta, you have direct access to Physiotherapy, meaning you don’t need a doctor's note to begin. However, we always recommend checking with your specific insurance provider, as some plans still require a referral for reimbursement.

What should I wear to my first assessment?

Comfortable, loose-fitting clothing is best. If we are looking at a knee or hip injury, bringing a pair of shorts is helpful. We want to be able to see how your joints move and have easy access to the area being treated.

Can Physiotherapy help with chronic headaches or jaw pain?

Yes. Many headaches and TMJ issues are caused by tension in the neck and upper back or postural imbalances. Our therapists use targeted manual therapy and exercises to address these specific triggers and provide lasting relief.

How many sessions will it take before I see results?

Every recovery is unique. After your first assessment, we will provide a clear roadmap. Most clients notice an improvement in mobility or pain reduction within 3 to 5 sessions, but chronic issues may require a longer-term plan.

Will I be given exercises to do at home?

Absolutely. Physiotherapy is a partnership. We provide simple, effective movements you can do at home to reinforce the work we do in the clinic, which significantly speeds up your recovery time.

Do you provide support for Motor Vehicle Accident (MVA) recovery?

Yes. Our physiotherapy team can help support your recovery after a motor vehicle accident with personalized treatment plans focused on reducing pain, restoring mobility, and improving function.

Can you help with insurance or MVA-related questions?

Absolutely. We can assist with general insurance and MVA-related questions, including direct billing options and information about the treatment process following an accident.

Massage

Is deep tissue massage supposed to be painful?

We believe in the "productive discomfort" rule. You may feel deep pressure as we work through knots, but it should never be unbearable. We always communicate with you to ensure the pressure is effective while remaining within your comfort zone.

How often should I book a massage for maintenance?

For general wellness and stress management, once a month is a common and effective schedule. If we are working through a specific injury or high levels of chronic tension, we may suggest more frequent visits initially.

Can I get a massage if I am pregnant?

Yes! We have therapists specifically trained in Prenatal Massage. We use specialized positioning and bolsters to ensure both you and the baby are safe and comfortable throughout the session.

What is the difference between Swedish and Therapeutic massage?

Swedish massage is primarily focused on relaxation and increasing circulation using long, flowing strokes. Therapeutic massage is more goal-oriented, using specific techniques to address chronic pain, injuries, or restricted movement.

Why is it important to drink water after a massage?

Massage stimulates circulation and the lymphatic system. Drinking water helps your body process and flush out the metabolic waste released from your muscles during the session, which helps prevent post-massage grogginess.

Do you offer side-by-side / couples massage?

Yes, these are booked only through the front desk to ensure therapist and appointment availability.

Can I bring my kids for a massage?

Yes! 4 Elements Wellness Clinic welcomes massage for ages 5 and up. Parents are required to be present for the entire treatment when youth are 14 or younger and can utilize our side by side treatment room or if parents have multiple children they’d like to book for the same time slot. Parents, Grandparents, and Siblings have all benefited from our professional atmosphere and therapist knowledge of Pediatric Massage Therapy.

Can I still get a massage if I don't have insurance?

Yes! We employ student massage therapists to provide cost-effective options for clients without insurance coverage. Student massage therapists are unavailable for direct billing until graduation however some Health Spending Accounts do accept Student Massage Therapy receipts.

Are your massage therapists accredited?

Yes, our registered massage therapists have all earned Massage Therapy Diploma’s and meet the 2200-hour standard for insurance billing. All of our student massage therapists can provide massage treatments and are in accredited educational programs that will result in a diploma and the 2200-hour competency upon graduation. Student massage therapists are unavailable for direct billing until graduation.

All of our practitioners including physiotherapists, acupuncturists and reflexologists are registered to practice and hold individual insurance.

Do you offer special rates for youth, seniors or first reponders?

Yes! Youth aged 17 and under, adults aged 65 and older, active police officers, firefighters, paramedics, military personnel and veterans receive 10% savings on all massage services. Proof of status is required.
